UNICE Education Group ("UNICE", "we", "us") helps international students apply to universities in Malaysia and other study destinations. This policy explains what personal information we collect through uniceeducation.com, our application portal (ems.uniceeducation.com) and our communication channels, how we use it, and the choices you have. We handle personal data in line with Malaysia's Personal Data Protection Act 2010 (PDPA).

1. Information we collect

• Contact details you give us: name, email address, phone or WhatsApp number, country and nationality.
• Application details: date of birth, passport details, academic certificates and transcripts, English test results, photographs and other documents you upload for admission and visa processing.
• Enquiry and meeting details: messages you send through our forms, email or WhatsApp, and meetings you book with us.
• Website preferences: your selected language, nationality and currency, stored in cookies so the site can show the right fees and language.
• Basic technical data: browser type, device and pages visited, used to keep the site secure and working well.

2. How we use your information

• To answer your enquiries and give you programme and fee information for your nationality.
• To prepare and submit your applications to universities.
• To process your student visa through Education Malaysia Global Services (EMGS) and the relevant immigration authorities.
• To update you on your application status by email, WhatsApp or portal notifications.
• To provide support before and after your arrival, such as accommodation guidance.
• To improve our website and services, and to protect them against misuse.

3. Who we share it with

We share your information only as needed to process your application :-

• The universities and colleges you apply to;
• EMGS, immigration authorities and other government bodies involved in your student visa;
• The education agent who referred you, if you applied through one;
• Trusted service providers who host our website, portal and email, under confidentiality obligations.
• We do not sell your personal information. We do not share it for other companies' marketing.

4. Fees and payments

• UNICE does not charge students a service fee. Tuition fees are paid directly to the university's own account. We never ask for card numbers, banking passwords or payments through WhatsApp.

5. How we protect your information

• Our portal uses encrypted connections (HTTPS), access controls and two-step verification for staff accounts. Only authorised staff can view application documents. No system is completely secure, but we work to protect your data and to respond quickly to any issue.

6. How long we keep it

• We keep application records for as long as needed to complete your admission and visa, to support you during your studies, and to meet legal and university record-keeping requirements. You can ask us to delete information we no longer need.

7. Your rights

You can ask us to :

• show you the personal information we hold about you;
• correct information that is wrong or out of date;
• stop sending you updates or promotional messages;
• delete your information where we are not required to keep it.

8. Cookies

• We use cookies to remember your language, nationality and currency choices, and to keep you signed in to the portal. You can clear or block cookies in your browser settings; some features may not work as expected without them.

9. Students under 18

• If you are under 18, please apply with the knowledge and consent of a parent or guardian.

• We may update this policy from time to time. The latest version will always be on this page, with the date it was last updated.
